Retreat Coordinator

Habitat Retreats is growing, and with that growth comes a need for people who love the behind-the-scenes work that makes a retreat actually function. We're looking for a Retreat Coordinator to join us on the ground and own the operational side of our trips.

This is a paid, trip-based role.If you're wired for logistics, thrive in a support role, and want to see the world while doing it, it might be exactly right for you.


What the Role Is

As a Retreat Coordinator, you are the operational backbone of the retreat. You work alongside the host, but your job is entirely separate from facilitation. While the host leads their sessions and holds the group experience, you handle everything that keeps the trip running smoothly in the background.

You are the person who knows the schedule, communicates with vendors, troubleshoots the unexpected, and ensures that every logistical detail is covered so the host never has to think about it.

This role requires someone who is genuinely fulfilled by making things work. Not someone who tolerates the backend in order to eventually do something else. The right person for this role finds deep satisfaction in the kind of work most people overlook.

Roles and Responsibilities

As a Habitat Retreat Coordinator, you are responsible for:

  • Managing all on-the-ground logistics for the duration of the retreat

  • Serving as the primary point of contact for local vendors, accommodation providers, transport, and activity operators

  • Keeping the daily schedule on track and communicating any changes clearly to the host and guests

  • Anticipating and resolving issues before they affect the guest experience

  • Supporting the host operationally so they can focus entirely on leading their group

  • Being a calm, reliable, and present point of contact for guests when logistical questions arise

  • Upholding the Habitat standard of experience across every detail of the trip

  • Take photo and video content of the retreat

Habitat is responsible for:

  • Training you on how our retreats operate before you go on location

  • Providing all trip information, vendor contacts, schedules, and operational documents in advance

  • Being available remotely as a resource throughout the retreat

  • Covering all expenses: flights, accommodation, meals, and any trip-related costs

  • Compensating you per trip

You're a Strong Fit If:

  • You are exceptionally organized and take genuine pride in the details

  • You are calm under pressure and resourceful when things don't go to plan

  • You work well independently. On location, you are the person in charge of the backend, and you're comfortable owning that

  • You are willing and able to travel internationally, multiple times per year

  • You understand that a great retreat feels effortless to the people on it, and you want to be the reason for that
